What to send your vendors two weeks before the wedding

A short list of the details every wedding vendor needs from you about two weeks out, so nobody calls you on the morning of.

Two weeks before the wedding, send every vendor the same email. It takes twenty minutes to write and it's the difference between a quiet wedding morning and a phone that won't stop buzzing.

What to put in it:

  1. The final timeline, with ceremony, dinner, toasts, first dance and send-off times. Vendors plan their setup around it.
  2. Load-in details: which door, which elevator, where to park, and the earliest time the venue will let them in.
  3. One day-of contact who isn't you or your partner. A planner, a coordinator or a calm friend with their phone charged.
  4. Final guest count, especially for caterers, bakers and anyone printing or providing favors.
  5. The floor plan, even a phone photo of a sketch. It answers "where does this go?" before anyone asks.
  6. Any venue rules you've been told: no open flames, no confetti, a hard music cutoff, an end time for load-out.
  7. Final payment status, so nobody has to bring up money at the reception.

Put everything in one email with every vendor on BCC, and attach the timeline as a PDF. If something changes in the last week, send an update with "UPDATED" in the subject line so it doesn't get lost.
